Lamproom Theatre Company – Privacy Policy

1. Purpose

This privacy policy explains how the Lamproom Theatre Company (“the LTC”) collects, stores, uses and protects personal data, in line with relevant data protection laws.

This policy relates to you (“the User”) and the LTC, the owner of your data. It applies to the LTC’s use of any and all data collected during the course of its legitimate activity.

2. Definitions and Interpretation

In this policy:

2.1 Data
All information that you submit to the LTC. This includes, where applicable, the definitions provided in the Data Protection Laws.

2.2 Data Protection Laws
Any applicable law relating to the processing of personal data, including but not limited to the UK GDPR, and any national implementing and supplementary laws, regulations and secondary legislation.

2.3 GDPR
The UK General Data Protection Regulation.

2.4 User / “you”
Any member of the LTC, or any third party interacting with the LTC.

3. Scope

3.1 This policy applies only to the actions of the LTC and Users with respect to personal information provided.

3.2 For the purposes of the applicable Data Protection Laws, the LTC is the “Data Controller”. This means the LTC determines the purposes for which, and the manner in which, your data is processed.

4. Data Types

The LTC may collect the following data from you:

Name
Contact information (postal address, email address, telephone number, etc.)
Bank details (for reimbursement of expenses)
Information required for participation in LTC productions and activity (e.g. clothing/shoe sizes)

5. Data Collection

Data is given to the LTC by you.

The LTC may collect data in a number of ways, including (but not limited to):

When you contact the LTC by telephone, post, email or other electronic messaging
When you submit online forms via the LTC website
When you complete and submit audition forms for LTC productions
When you elect to receive marketing communications from the LTC

6. Data Use

6.1 Any or all of the data listed in section 4 may be required by the LTC from time to time.

6.2 The lawful bases for processing your personal data include:

Consent – You have given clear consent for the LTC to process your personal data for a specific purpose.
Contract – Processing is necessary for a contract the LTC has with you, or because you have asked the LTC to take specific steps before entering into a contract.
Legal obligation – Processing is necessary for the LTC to comply with the law (not including contractual obligations).
Legitimate interests – Processing is necessary for the LTC’s legitimate interests, or those of a third party, unless there is a good reason to protect your personal data which overrides those interests.

6.3 If you are not satisfied with this, you have the right to object in certain circumstances (see section 10).

6.4 For direct communication, including marketing by email or post, the LTC requires your consent, either via an opt‑in or a “soft opt‑in”.

Soft opt‑in consent – Applies when you have previously engaged with the LTC (for example, you requested details about a production or activity, and the LTC is marketing similar productions or activities). In this case, the LTC may treat your consent as given unless you opt out.
Explicit consent – For other types of communication and marketing, the LTC must obtain your explicit consent. This means you must take a positive action, such as ticking a box when your data is collected.

6.5 If you are not satisfied with the LTC’s approach to communication and marketing, you have the right to withdraw consent at any time (see section 10).

7. Data Sharing

The LTC may share your data with:

Production Directors (LTC members or independent) – To allow necessary contact with cast members, backstage crew, etc.
Professional advisers – Where the LTC needs professional advice on an issue relating to its activities.
The Barnsley Theatre Trust / The Lamproom Theatre – For direct marketing purposes (e.g. upcoming productions, theatre activities).

8. Data Security

The LTC uses appropriate technical and organisational measures to safeguard your data.
These measures include steps to deal with any suspected data breach.

9. Data Retention

Unless a longer retention period is required or permitted by law, the LTC will only hold your data for as long as necessary to fulfil the purposes outlined in this policy, or until you request that it be deleted.
Even if the LTC deletes your data, it may remain on backup or archival media for legal, tax or regulatory purposes.

10. Your Rights

You have the following rights in relation to your data:

Right to access – To request copies of the information the LTC holds about you, or to ask the LTC to modify, update or delete such information. The LTC will not charge for this unless your request is “manifestly unfounded or excessive”. Where legally permitted, the LTC may refuse your request and will explain why.
Right to correct – To have your data rectified if it is inaccurate or incomplete.
Right to erase – To request that the LTC deletes or removes your data from its systems.
Right to restrict use – To stop the LTC from using your data, or to limit how it can use it.
Right to data portability – To request that the LTC moves, copies or transfers your data.
Right to object – To object to the LTC’s use of your data, including where it is used for the LTC’s legitimate interests.

11. Children’s Data

The LTC understands the importance of protecting children’s privacy and is committed to safeguarding their personal data.
For this policy, a child is anyone under the age of 18.
The LTC collects personal data from children only with the explicit consent of a parent or guardian.
The types of personal data the LTC may collect from children include:
- Name
- Contact information (postal address, email address, telephone number, etc.)
- Information required for participation in LTC productions and activity (e.g. clothing/shoe sizes)
The LTC does not use children’s data for marketing purposes without explicit consent from a parent or guardian.

12. Links to Other Websites

The LTC may, from time to time, provide links to other websites.
The LTC has no control over such websites and is not responsible for their content.
This policy does not extend to your use of such websites. You are advised to read the privacy policy or statement of any other website you visit.

13. General

The LTC Committee is responsible for data protection compliance for the LTC.
You may not transfer any of your rights under this policy to any other person.
The LTC may transfer its rights under this policy where it reasonably believes your rights will not be affected.
If any court or competent authority finds that any provision of this policy (or part of it) is invalid, illegal or unenforceable, that part will be deemed deleted, and the rest of the policy will continue in force.
Unless otherwise agreed, no delay, act or omission by a party in exercising any right or remedy will be deemed a waiver of that or any other right or remedy.
This policy is governed by, and interpreted in accordance with, the law of England and Wales. All disputes arising under it are subject to the exclusive jurisdiction of the courts of England and Wales.

14. Changes to this Privacy Policy

The LTC may change this policy from time to time, or as required by law.
Any changes will be notified to all Users. If you do not respond, this will be taken as acceptance of the updated policy.
